DocuSign - Employment contract

Using DocuSign, we make contracts available digitally and securely. You can sign your contract directly, no registration or login is required. The signed document is automatically returned to the Human Resources Administration.
We would like to emphasise that you do not need an electronic signature to sign the document using DocuSign. This means that you do not need a mobile phone signature or a citizen card (or a corresponding registration for these services) to use DocuSign.

  • I received my employment contract via an email address from DocuSign. Is the address trustworthy?

    Yes, electronically transmitted employment contracts from dse@eumail.docusign.net are sent by the University of Vienna with the subject "Document(s) ready for signing" and are trustworthy:

  • What do I have to do with the electronically (via DocuSign) transmitted contract?

    Basically, you can sign documents in 2 ways.

    On the one hand, countersigning via DocuSign. On the other hand, signing the document manually, with subsequent return via HR ServiceDesk, email or post.

    If you choose the first option, countersigning via DocuSign, you can do so in the form of

    ·       a predefined style from DocuSign,

    ·       a signature or initials drawn (with mouse or touch), or

    ·       an uploaded image of your own signature.

    All three variants are legally effective.

    You do not need to enter a signature date, as this is processed automatically.

    If you still prefer to sign your document by mobile phone signature or by hand, you can download the document as a PDF via the DocuSign link, sign it and  then return it to personaladministration@univie.ac.at.

  • To which email address will my contract be sent?

    The contract will be sent to your university email address ending in "@univie.ac.at". If you have not been employed at the University of Vienna so far, you will receive your contract to your private email address.

    Please also check your SPAM folder.

  • I have not received an email with my contract. What should I do?

    Please check the inbox and SPAM folder of your business and private email address. If you have not received an email, please contact the HR ServiceDesk.

  • How long do I have to sign the contract?

    The link to sign the document is valid for 21 days. You will receive a total of two reminder emails in good time before the deadline.

    After the deadline has passed, please contact the HR ServiceDesk. We will then provide you with the link again.

  • Where can I find my contract number?

    The first four digits of the document name indicate the contract number:

    It is also printed at the top right of the first page of your contract or addendum. Alternatively, you can also find the contract number in your service time confirmation, which you will soon be able to view at hrfi.univie.ac.at in the app "Confirmations".

  • DocuSign asks to enter a password. Do I have to register?

    No, registration is not necessary. You can skip the step by clicking on "NEIN DANKE” below. You will receive a copy of your documents by e-mail directly afterwards, even without registration.

  • The address on my contract is not correct, can I still sign?

    Yes, your contract is still legally valid with your signature. You can notify us of a change of address via hrfi.univie.ac.at in the "Address" app once you have started working.

  • The content of the contract is not correct, how can I have it changed?

  • What do the other actions "Später fertigstellen" and "Drucken und signieren" mean?

    "Später fertigstellen" (=Finish later) means that the current status of the document is saved and the completion (signature) can be done at a later time.

    "Drucken und Signieren” (=Print and sign) offers the possibility to print out the contract and sign it on paper, for example. You can then submit the document via DocuSign or send it by mail to personaladministration@univie.ac.at.
